Draft for review. Highlighted items must be confirmed by the business — and reviewed by a qualified adviser where appropriate — before this website is launched publicly.
1.Who we are
This website is operated by [To confirm: registered business name and legal form], trading as Prosser Brothers (“we”, “us”). We are the data controller for personal information collected through this website.
- Registered address: [To confirm: registered address]
- Company number: [To confirm: company number, if a limited company]
- ICO registration number: [To confirm: ICO data protection fee registration number]
- Privacy contact: [To confirm: privacy contact email address]
2.Information we collect
When you request a website review, we collect the details you enter: your name, business name, email address, and optionally your phone number, current website address, trade, goals, frustrations, typical project value and any notes you choose to add. We also record whether you opted in to marketing emails.
When you contact us by email or phone, we keep a record of the conversation so we can respond and follow up.
Technical information. Our hosting provider processes standard server logs (such as IP address, browser type and pages requested) to deliver and secure the website. The enquiry form uses your IP address temporarily to limit repeated submissions; it is not stored with your enquiry.
Demonstrations. The interactive demonstrations on this website — including the enquiry simulator and the demo quote forms — run entirely in your browser. They do not send or store your answers, and any photo you select in a demo stays on your device.
3.How we use it, and our lawful basis
- To prepare your website review and reply to you — because you have asked us to, and it may lead to a contract (UK GDPR Article 6(1)(b)), and our legitimate interest in responding to business enquiries (Article 6(1)(f)).
- To send occasional marketing emails — only if you have opted in (Article 6(1)(a) and PECR). You can unsubscribe at any time using the link in any email, or by contacting us.
- To keep records required for legal, tax and accounting purposes where you become a client (Article 6(1)(c)).
We do not sell personal information, and we do not use it for automated decisions with legal effects.
5.How long we keep it
- Website review requests that don’t lead to work: [To confirm: retention period, e.g. 12 months], then deleted.
- Client records: for the length of our agreement and afterwards as required for legal and accounting purposes. [To confirm: retention period, e.g. 6 years]
- Marketing consent: until you unsubscribe or ask us to stop.
6.Your rights
Under UK data protection law you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to its use, to data portability, and to withdraw consent at any time.
To make a request — including asking us to delete your enquiry — contact [To confirm: privacy contact email address]. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
8.Keeping information secure
The website is served over HTTPS. Enquiry data is stored with access restricted to authorised people, and service credentials are kept on the server — never in the browser. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
9.Changes to this policy
We may update this policy from time to time. The latest version will always be on this page. See also our terms.
